Information we may collect from you

We may collect and process the following data about you:

  • Information you give us. You may give us information about you by filling in forms on our site www.samitipi.co.uk (our site) or by corresponding with us by phone, WhatsApp, social media direct messages, e-mail or otherwise. This includes information you provide when you register to use our site, subscribe to our service, search for a product, place an order on our site, participate in discussion boards or other social media functions on our site, enter a competition, promotion or survey, and when you report a problem with our site. The information you give us may include your name, address, e-mail address and phone number, and details relevant to your booking. If you provide a pone number when making an enquiry, we may store it on our office mobile to communicate via WhatsApp. Some enquires may also be received directly via WhatsApp through our website chat feature. If you request removal, your conversation will be archived and your contact details deleted from our mobile. All card payments are securely processed through Stripe; we do not store or have access to your credit card information. For BACS payments, funds are transferred directly between your bank and ours – Sami Tipi does not process these payments directly. If you provide us with your wedding or event photographs, we may store and use these with your consent for marketing purposes, including our website, social media, and promotional materials. If you wish to have your photos removed, you can request delegation at any time by contacting us.
  • Information we collect about you. With regard to each of your visits to our site we may automatically collect the following information:
  • Technical Data, including the Internet protocol (IP) address used to connect your computer to the Internet, browser type, operating system and device type.
  • Interaction Data about your page visit, time spent on the site, actions taken.
  • Communication history. If you email, call or WhatsApp us, we may retain correspondence.
  • Call Recordings. We use Invoco as our cloud-based phone system. Some calls may be recorded for training and customer service purposes. These recordings are stored securely and deleted after 12 months. If you prefer not to be recorded, please inform us at the start of the call.
  • Information we may receive from other sources we may receive data from third parties such as:
    Business partners (eg, suppliers, providing services for your event) 
    Advertising networks & analytic providers (eg, Google Analytics) 
    Payments and invoicing services (eg, Stripe, Xero)

We use information held about you in the following ways:

  • Manage event bookings, quotes and planning through MarqueeTech.
  • to provide you with information about other goods and services we offer that are similar to those that you have already purchased or enquired about;
  • to provide you, or permit selected third parties to provide you, with information about goods or services we feel may interest you. If you are an existing customer, we will only contact you by electronic means (e-mail or SMS) with information about goods and services similar to those which were the subject of a previous sale or negotiations of a sale to you. If you are a new customer, and where we permit selected third parties to use your data, we (or they) will contact you by electronic means only if you have consented to this. If you do not want us to use your data in this way, or to pass your details on to third parties for marketing purposes, please tick the relevant box situated on the form on which we collect your data (the [order form OR registration form]);

Sharing your Information

We may share your information with;

  • Trusted Business partners, suppliers and sub-contractors for event planning and service fulfilment
  • Payment providers and financial institutions for processing transactions.
  • Digital marketing and CRM platforms such as ActiveCampaing and Marqueetech
  • Our website provider (Key Principes) for site maintenance and support
  • Call handling services – We use a third party service provider, MiPa, to assist with overflow call handling. If a call is missed, MiPa collects the caller’s name, phone number and email address and forwards these details via email to our team. We may disclose your personal information to third parties:

  • In the event that we sell or buy any business or assets, in which case we may disclose your personal data to the prospective seller or buyer of such business or assets.
  • If We or substantially all of its assets are acquired by a third party, in which case personal data held by it about its customers will be one of the transferred assets.
  • If we are under a duty to disclose or share your personal data in order to comply with any legal obligation, or in order to enforce or apply our terms of use website-terms-of-use or terms and conditions of supply and other agreements; or to protect the rights, property, or safety of Sami Tipi Limited, our customers, or others. Where we store your personal data

It may also be processed by staff operating outside the EEA who work for us or for one of our suppliers. Such staff maybe engaged in, among other things, the fulfilment of your order, the processing of your payment details and the provision of support services. Data Retention and Security
How long we keep your data

  • Non-engagement client enquires are reviewed after 12 months and deleted after 18-24 months
  • Booking records are retained for 6 years (legal tax requirement)
  • WhatsApp contacts are deleted upon request
  • When you unsubscribe, or email requesting to be removed from “the list” your details will be removed from our CRM system ActiveCampaing.

Security Measures
We take responsible steps to protect your data, including

  • Secure cloud-based storage 
  • Access restrictions (only authorised team members have access).
  • Regular reviews of stored data and deletion policies.
